Night of the Ride Instructions
Point West Rotary Club Foundation (PWRCF) and the Lunar Lunacy Committee thank you for your participation as an exhibitor at our 4th Annual Lunar Lunacy Moonlit Ride event. Your participation will be recognized on our website via your logo and company name. PWRCF has been fundraising for local charities in our community for over 30 years.
Below Exhibitors (NOT selling products-includes sponsors’ booths) and Vendors (ARE selling products) will find information to assist you in exhibit preparations, as well as your set-up and break-down directions for the evening.
Equipment You Need to Bring:
1. Pop-ups – should you wish
2. Table(s) – Certain level sponsors will be provided table & chairs.
4. LED lighting
You can drop off your tent, pop-up, chairs, LED lighting, displays, etc. on the Capitol Mall Greens via 6th Street off of L Street. 6th Street will be closed to public traffic. Logistics volunteers will be on hand assist with your entry to the fenced venue and to direct you to the drop-off area.
REMEMBER -The Capitol Mall Greens will be barricaded from 7th to 5th – access is only by going south on 6th Street from L Street. If you can have a person stay with your equipment while you park, it is advisable.
• Pop-ups can be no larger than 10’ x 10’
• Only LED lights are allowed (no lighting is provided)
Please arrive between 5:00 – 6:00 p.m. When your vehicle arrives you will be directed to park along the north lanes (west bound) of Capitol Mall to unload. arrive go to Check-In and you will be guided to your designated location. All vehicles not on exhibit should exit the venue area by 6:15 p.m. You should be ready by 6:30 p.m. as the festival starts at 7 p.m. At Check-In you’ll receive a site-map to assist you.
Free street parking will be available after 6:00 p.m. on streets all around the Capitol Mall. If you park prior to 6:00 p.m. regular parking rules apply.
If you choose to park in the parking garage (6th street, just south of L Street)- reduced rates have been arranged at $10.00 for the entire event time. Parking is also available for $10.00 at the garage at 400 Capitol Mall. If you choose another nearby garage, check their closing time to be sure they will be open until 11:30 p.m. Some close before the event is over.
Promotional Materials - Activities:
Exhibitors are encouraged to bring fun giveaways and can share business/charity hand-outs and informational packets. Easy activities at your site are encouraged.
You should be able to break down your exhibit between 9:00-9:30 p.m and exit the site by 10:15pm. Pick up vehicles will not be allowed back on site until the last rider leaves; estimated time 9:30pm. As bike riders prepare to take off for their Lunar Lunacy Ride the crowd will start to thin. Timing should be appropriate to the level of activity around your exhibit. You can use the same location to load your equipment as you used for drop-off.
Food vendors and vendors with products to sell have designated areas on the mall. Go to Check-In upon arrival to receive directions and help with your designated location, as well as refer to the event site map.
